Through Christ & community, 10:12 Sports is a ministry using athletics to provide discipleship, leadership development and job training opportunities to teenage males. 10:12 empowers our community church partners and leaders to mentor youth through Christ, developing servant leaders and successful decision makers who commit to healthy lifestyles. We are currently in the process of building and strengthening a team that embraces that mindset.

Job Description

In partnership with the Executive Director, the Administrative Assistant is responsible for various aspects within the organization that help it to run as efficiently as possible. In addition to typical administrative duties the AA will also assist with church relations and volunteer coordination. The expectation is that these areas are managed with excellence and consistency. While there is a focus on these administrative-related tasks, the Administrative Assistant will be joining a small but mighty team, and therefore (as indicated below) is expected to step into a diverse set of responsibilities. Knowing that all ministry flows from relationships, connections built in the greater 10:12 community are essential to the work.

10:12 sports is an organization that is adaptive to the needs of its students and community. Due to this, the Administrative Assistant may be asked to occasionally assist with Saturday morning programming, while being encouraged to occasionally support 10:12 evening activities.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Administrative Coordination (85%)

Human Resources

  • Assist in the recruitment, onboarding and training of new: staff, volunteers, and contractors

  • Monitor and lead in helping to ensure organizational compliance deadlines are met and guidelines are adhered to

Finance

  • Assist with maintaining proper financial record-keeping

  • Handle select organizational purchases

  • Troubleshoot any donation complications

  • Deliver proper giving records to donors

  • Support grant reporting and donor tracking by compiling necessary documentation

  • Monitor office supplies, equipment, and basic financial tracking as directed

Outreach

  • Communicate with stakeholders on behalf of E.D. (team, volunteers, partners, etc...)

  • Assist with internal communication, newsletters, and external correspondence

  • Schedule/coordinate meetings and visits for various individuals/organizations

  • Represent 10:12 at various networking/partner functions

  • Inform volunteers & coordinate various engagement opportunities

Administration

  • Assist in providing content updates to website and social media

  • Relay necessary updates/data to Grants Coordinator

  • Manage the organization of necessary program data

  • Troubleshoot as needed with partner third party companies

  • Manage the calendar of events for 10:12 and the E.D.

  • Manage organizational calendars, scheduling and meeting logistics

  • Provide administrative support to the Executive Director and Director of Operations

  • Handle data entry, filing, and document management

  • Assist in maintaining program and participant records, ensuring both accuracy and confidentiality

Partnership Building (15%)

  • Assist in building and maintaining relationships with community of financial and in-kind supporters including but not limited to businesses and donors (assist with partnership development “fundraising” for the ministry)

  • o Aid In recruitment for referees, interns, players, coaches, church hosts and other groups as needed

Miscellaneous

  • Other duties as assigned

Qualifications and Personal Characteristics

  • Person of integrity, actively walking out their Christian faith

  • Willingness and desire to build deep and consistent relationships with the 10:12 community

  • Reliable, organized and responsible

  • Personable and comfortable networking

  • Ability to work independently and take initiative

  • Preferred working hours are 9:00 AM to 1:00 PM, but are negotiable

  • Love of serving others

  • Excellent time management skills and the ability to prioritize work

  • Attention to detail and problem solving skills

  • Excellent written and verbal communication skills

  • Alignment with the mission and core beliefs of 10:12

  • Previous administrative experience is strongly preferred

  • Experience with Google Suite (Drive, Docs, Sheets) Preferred

  • High School Diploma Required (College Degree Preferred)
